How independent recruiters can manage multiple candidate pipelines

A practical system for keeping several recruitment mandates organized without losing candidate context, communication commitments, or placement visibility.

Multiple mandates create more than a volume problem. They create competing promises: client feedback, candidate updates, sourcing, interviews, and offers all move on different clocks.

Give every mandate one source of truth

Each active search needs a clear status, company context, and candidate pipeline. Avoid duplicating active stage information across a spreadsheet, inbox, and personal task list.

Keep stages consistent

Use the same core definitions unless a role truly requires another process. Consistency makes it possible to scan the desk and understand where work is accumulating.

Separate progress from tasks

A stage describes process state. A task describes an action. Do not move a candidate to interviewing merely because an interview needs to be scheduled; move them when the stage definition is satisfied.

Establish a communication service level

Decide how long candidates can remain in each stage without an update. Use inactivity signals and scheduled follow-ups to expose exceptions, while keeping final judgment with the recruiter.

Review the desk in two passes

Start with exceptions: failed email, overdue feedback, long inactivity, and offers near a decision date. Then review pipeline balance: excess sourcing, slow submission feedback, or interviews that do not convert.

Archive deliberately

Close or archive paused and completed mandates. Cancel obsolete communication and retain only information permitted by your lawful basis and retention policy.

A manageable desk is not one without competing priorities. It is one where the next risk and action remain visible.
